ISLS Privacy Policy

This Privacy Policy describes how your personal information is collected, used, and shared when you visit or become a member on https://www.isls.org (the “Site”).

What personal data we collect and why we collect it

When you visit the Site, we automatically collect certain information about your device, including information about your web browser, IP address, time zone, and some of the cookies that are installed on your device. Additionally, as you browse the Site, we collect information about the individual web pages that you view, what websites or search terms referred you to the Site, and information about how you interact with the Site. We refer to this automatically-collected information as “Device Information.”

We collect Device Information using the following technologies:

  • “Cookies” are data files that are placed on your device or computer and often include an anonymous unique identifier. For more information about cookies, and how to disable cookies, visit https://www.allaboutcookies.org.
  • “Log files” track actions occurring on the Site, and collect data including your IP address, browser type, Internet service provider, referring/exit pages, and date/time stamps.
  • “Web beacons,” “tags,” and “pixels” are electronic files used to record information about how you browse the Site.

Additionally when you become a member or attempt to become a member through the Site, we collect certain information from you, including your name, billing address, shipping address, payment information (including credit card numbers), and email address. We also collect all of the information listed on our member registration form including member profile fields. We refer to this information as “Membership Information.”

When we talk about “Personal Information” in this Privacy Policy, we are talking both about Device Information and Membership Information.

Comments

When members leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

We collect personally identifiable information in our contact forms in order to follow up with you if we have any questions regarding your submissions. This data is stored on our server indefinitely. This data is not shared with third-parties and may only be accessed by website administrators and editors, and by the ISLS Communications Committee.

Cookies

If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

How do we use your personal information?

We use the Membership Information that we collect generally to fulfill membership subscriptions placed through the Site (including processing your payment information, arranging for shipping, and providing you with invoices and/or order confirmations). Additionally, we use this Membership Information to:

  • Communicate with you;
  • Screen our orders for potential risk or fraud; and
  • When in line with the preferences you have shared with us, provide you with information relating to organization and our events.

We use the Device Information that we collect to help us screen for potential risk and fraud (in particular, your IP address), and more generally to improve and optimize our Site (for example, by generating analytics about how our members browse and interact with the Site, and to assess the success of our newsletter and social media campaigns).

Sharing your personal information

We do not use the information that you provide to register for an account, attend our events, receive newsletters, or participate in the ISLS community in any other way.

We will not sell or lease your personal information to third parties unless we have your permission or are required by law to do so.

We would like to send you our email newsletter communication from time to time. If you have consented to receiving our newsletter, you may opt out later.

You have a right at any time to stop us from sending you our newsletter. If you no longer wish to receive our newsletter, please click on the unsubscribe link at the bottom of the email.

Finally, we may also share your Personal Information to comply with applicable laws and regulations, to respond to a subpoena, search warrant or other lawful request for information we receive, or to otherwise protect our rights.

Do not track

Please note that we do not alter our Site’s data collection and use practices when we see a Do Not Track signal from your browser.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. If you would like to exercise this right, please contact us through the contact information below. You may also delete your account and associated data while logged in under the Account menu option.

Additionally, if you are a European resident we note that we are processing your information in order to fulfill contracts we might have with you (for example if you sign up to become a member through the Site), or otherwise to pursue our legitimate business interests listed above. Additionally, please note that your information will be transferred outside of Europe, including to Canada and the United States.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For members that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information. We will maintain your Membership Information for our records unless and until you ask us to delete this information.

Where we send your data

Contact form submissions may be checked through an automated spam detection service.

Changes

We may update this privacy policy from time to time in order to reflect, for example, changes to our practices or for other operational, legal or regulatory reasons.
