Procedure to Request an Official Letter for Visa Application

for Conference Delegates and Exhibitors to attend CSCL conference on July 4-8, 2011 and/or CSCL post-conference on July 11-15, 2011

International attendees may need a letter of "invitation" in order to obtain a visa to visit Hong Kong, China (CSCL 2011 conference) and/or Mainland China (Post-conference). This procedure is intended to assist participants who need to obtain an “invitation” to apply for a visa to attend the conference on July 4-8, 2011 and/or the post-conference on July 11-15, 2011. The official "invitation" letter is only for participation, and does not cover fees and/or any other expenses or financial support for attendance.  The conference secretariat strongly advises you to start the visa application process as early as possible.  The conference secretariat will not be able to contact or intervene with Embassy or Consulate offices on your behalf.

All conference attendees and exhibitors must be registered and must have paid the required registration fees before requesting an official letter of "invitation".

To ensure a successful request for a letter for visa application purposes, please kindly provide the details below in the online form:

  • Full name (as appeared on your passport)
  • Complete mailing address 
  • Telephone and fax number 
  • Email address 
  • Sessions of the conference registered and paid (pre-conference 4-5 Jul/ main-conference 6-8 Jul / post-conference 11-15 Jul)
  • Invoice number after registration and payment 
  • Letter receive method (By email / By normal air-mail)

CSCL conference (July 4-8, 2011)

To check if a visa to Hong Kong is necessary from your country, please kindly visit the website of the Immigration Department, HKSAR government (http://www.immd.gov.hk) for information.  Please refer to the "Guide book for entry for visit/transit in Hong Kong and visa/entry requirements" in http://www.immd.gov.hk/ehtml/hkvisas_visit.htm. We advise attendees traveling to Hong Kong, China to apply for a visa as early as possible.
It is the traveler's responsibility to check and confirm current visa requirements to visit Hong Kong, China.  The Conference Secretariat cannot be held responsible for travelers that do not confirm their visa requirements or obtain the appropriate paperwork for travel to the conference.

CSCL post-conference (July 11-15, 2011)

Delegates are recommended to apply for People’s Republic of China (PRC) visa in their own countries.  Please kindly check the procedures for applying the visa to China in the nearest Chinese Embassy in your country.  Alternatively, delegates may also apply for a visitor’s visa to PRC after arrival in Hong Kong (However, please note that certain nationalities cannot apply for PRC visa in Hong Kong and should do so in their own countries). The official CSCL 2011 conference travel agent (Associated Tours Ltd) will be able to provide such service, and will set up a counter on July 4 and 6 at the conference venue to handle the visa applications to China. We advise attendees traveling to Guangzhou/Shanghai/Beijing in China for the post-conference activities to apply for a visa as early as possible.  The Conference Secretariat cannot be held responsible for travelers that do not confirm their visa requirements or obtain the appropriate paperwork for travel to the conference. 

Cancellation and refund policy

Conference registration fees are refundable (less administrative fee of USD30) if the visa application is unsuccessful.  The refund request must be received in writing before June 15, 2011.   No refunds will be made for cancellations received after June 15, 2011. When will you receive the official letter?

The official letter for visa application will be sent to you by email. In case you would like to receive the letter by post, we will only mail it to you by normal air-mail.  It normally takes 2 weeks’ time to prepare the official letter for visa application after you have filled in the online form and after your payment and registration is confirmed.
